NIMSCAST 5.0 Training Module 3: User Permissions Management Slide 1 - Slide 1 Welcome to the National Incident Management System Compliance Assistance Support Tool (NIMSCAST) Training. Slide 2 - NIMSCAST Training Modules This course includes five modules. The first module is an overview and introduction to NIMSCAST. Module 2 covers account management. Module 3 focuses on user permission management. Module 4 looks at completing and managing NIMS assessments. And finally, Module 5 looks at reports available in NIMSCAST. We recommend new users complete the modules in order, but all users can return to view all or part of this training course at any time. Slide 3 - MODULE 3: USER PERMISSIONS MANAGEMENT Module 3: User Permissions Management Slide 4 - Module 1 Objectives Module 3 of NIMSCAST Training looks at adding user permissions to an account as well as editing and removing user permissions. Slide 5 - NIMSCAST Permissions As discussed in Module 1, every NIMSCAST user is assigned to a particular account and, depending on the permission type, may be able to view or manage several sub-accounts through the use of inherited rights. There are five types of permissions assigned to NIMSCAST users: Administrative (Admin) users have full access to an account, including adding additional users to an account, adding and removing sub-accounts, and submitting assessments for rollup. Standard with Rollup users provide responses to and rollup (submit) assessments but cannot manage users. Standard without Rollup users provide responses to assessments but do not manage users or submit assessments for rollup. Read-Only users cannot enter any data, manage users, create new accounts, nor submit assessments for rollup. Read-Only with Inheritance users have read-only access to the entire account structure at and below the account. Read-Only users only have access to view reports for the account to which they are assigned. Slide 6 - Slide 6 Each NIMSCAST user is assigned to a particular account(s) and a permission type. There can be one or many users with different permission types for one account. Note that only Administrative users can add other users to an account or sub-account within their hierarchy. To add a user to an account: Verify that you are in the correct account by reviewing the account string. Slide 7 - Slide 7 Click the Manage Permissions link in the Navigation menu. Slide 8 - Slide 8 Click the Add a User link on the Permissions page. Slide 9 - Slide 9 In the Message from webpage dialog box, click the OK button to confirm that you want to add a user to the identified account. Slide 10 - Slide 10 On the Add a User to this Account page, scroll down to the Add a User box. In the Email field, enter the user’s email address. Slide 10 - Slide 11 This email address is used to log in to PrepCAST and for email distribution of NIMSCAST alerts and updates. Slide 11 - Slide 11 Note: We recommend that roles for each user for all PrepCAST applications (NIMSCAST and SPR) are assigned to the same email address. This facilitates the single sign in functionality of the PrepCAST portal. Slide 12 - Slide 12 In the Permission Type field, select the appropriate permission type from the drop-down list menu. Slide 13 - Slide 13 Click the Next> button to continue. If the user already exists in the PrepCAST database, the user will be added to the account upon clicking the Next> button. The user will receive an email indicating that a new roll has been assigned. Slide 14 - Slide 14 If the user is new and does not have an existing profile in PrepCAST, the Register a New User page will open to collect user profile information. Slide 15 - Slide 15 Enter the user’s name, organization, and phone number. Enter the telephone number as a 10 digit number without any special characters. Slide 16 - Slide 17 Verify the Email and Permission Type fields. Slide 18 - Slide 18 Click the Register button to complete user's registration. Slide 19 - Slide 19 Following registration, the user is sent an email with a temporary PrepCAST password. Slide 20 - Slide 20 Administrative users can change permissions for users within their primary account or sub-accounts. To edit user permissions: Verify that you are in the correct account by reviewing the account string located near the top of the page. Slide 21 - Slide 21 Click the Manage Permissions link in the Navigation menu. Slide 22 - Slide 22 Click the current permission link in the Permission Type column for the appropriate user. Slide 23 - Slide 24 On the Edit User Permissions page, select the appropriate permission type from the drop-down list menu. Slide 25 - Slide 25 Click the Edit Permissions button to save your changes. Slide 27 - Slide 27 Administrative users can also remove a user’s permission from a selected account. To remove user permissions from an account: Verify that you are in the correct account by reviewing the account string located near the top of the page. Slide 28 - Slide 28 Click the Manage Permissions link in the Navigation menu. Slide 29 - Slide 29 Click on the delete icon to the far right of the appropriate user record. Slide 30 - Slide 30 In the Message from webpage dialog box, click the OK button to confirm removal of the correct user permission.
